Privacy Policy

This site collects the minimum needed to answer you and arrange an appointment, and nothing else. We do not sell data, we use no advertising or analytics cookies, and we never store your IP address in the clear.

Who is responsible for your data

Addison Notary, operated by Gwen, a notary public commissioned by the State of Texas, based in Addison, TX 75001. You can reach us at contact@addisonnotary.com or on (469) 993-1226.

What we collect

Almost everything we hold about you is what you type into the appointment request form. The fields are:

  • Your name
  • Email address
  • Phone number
  • Preferred contact method and the best time to reach you
  • Service type and document type
  • Number of signers and whether witnesses are needed
  • Date needed, time window and whether it is urgent
  • Meeting location and service area
  • Your free-text message

Alongside that we store the date and time of the submission, the language the site was in, and a cryptographic fingerprint of your IP address (explained below). If you call or text us instead, we keep whatever is needed to handle that request.

What we deliberately do not collect

Please do not send these through the form

  • The contents of your documents. Describe the document type. Do not paste the text or attach the file.
  • Social Security numbers.
  • Dates of birth.
  • Payment card details. This website does not take payments.

We will never ask you for any of those by email. Your ID is checked in person or on the video session. We do not need a copy in advance and will not ask for one.

Why we collect it

To answer your request, give you a written quote, arrange the appointment and keep a business record of it. That is all. We do not build profiles, we do not run targeted advertising, and we do not use your data to train anything.

We do not sell or share your data

We do not sell your personal data, we do not pass it to data brokers, and we do not share it for targeted advertising. The only routine place it goes is the email provider described below, plus wherever Texas law or a valid legal order requires.

IP addresses: we store a fingerprint, not the address

When someone submits the form, the server needs a way to spot abuse and rate-limit repeated submissions. Rather than storing your IP address, we store a salted hash of it: the result of running it through a cryptographic function together with a secret key held on the server. That value lets us compare two submissions with each other, but it cannot be turned back into the original address, including by us.

This is a deliberate data-minimisation choice. We cannot lose, leak or hand over an IP address in the clear if we never wrote one down.

Cookies

This site uses a single first-party session cookie. It remembers your language and protects the forms against cross-site request forgery. It is strictly necessary for the site to work and it goes away when you close the browser.

  • No analytics cookies and no third-party audience measurement.
  • No advertising cookies or pixels, and no cross-site trackers.
  • No third-party embedded fonts, maps, videos or widgets.

That is why this site does not show you a cookie banner: there is nothing to consent to.

Third parties

Postmark: email delivery

When you submit the form, its contents are transmitted to Postmark, our transactional email provider, which delivers the notification to Gwen and, if you left an email address, your acknowledgement. Postmark receives whatever that message contains: your name, your contact details, the appointment details and your message. It acts as a processor on our behalf and does not use the data for its own purposes.

Cloudflare Turnstile: spam protection

The site supports Cloudflare Turnstile as a cookie-free anti-spam check. It is the only optional third party in the design, and it is currently not enabled. If we switch it on, this page will be updated before it goes live.

How long we keep things

Appointment requests and the related correspondence are kept as a business record for as long as they serve a legitimate purpose (knowing what was agreed, what was charged and when) and are deleted after that. You can ask us to delete yours sooner (see below).

The notary record book is a separate matter

Texas law requires every notary to keep a record book of the acts they perform. That book is retained for 10 years for traditional notarizations, and the record and audio-video recording of an online session are retained for 5 years. This is a separate legal obligation and has nothing to do with this website's data: it cannot be deleted on request, even if you ask us to erase your appointment enquiry.

Security

  • All site traffic is encrypted with TLS.
  • Data lives in a SQLite database kept outside the web root, so it cannot be fetched from a browser even if someone guesses its name.
  • Administrator passwords are stored hashed, never in the clear.
  • Forms are CSRF-protected and rate-limited.
  • Server logs redact tokens, keys and secrets.

No system is perfect and we will not pretend otherwise. What we do instead is keep the surface small: the less we hold, the less there is to protect.

Your rights

You can ask us what data we hold about you, ask us to correct something that is wrong, or ask us to delete your enquiry. We honor these requests wherever you live, not only for Texas residents.

Texas residents also have rights under the Texas Data Privacy and Security Act (TDPSA), including to access their personal data, correct it, delete it, obtain a copy, and opt out of its sale or its use for targeted advertising, neither of which we do in any case.

To exercise them, email us at contact@addisonnotary.com with "Privacy request" in the subject line, and tell us the name and the email or phone number you used, so we can find the record. We respond within 45 days. If we refuse a request we will tell you why and how to appeal that decision.

Children

This service is for adults and is not directed at children under 13. We do not knowingly collect data from anyone under 13. If you believe a child has sent us information, write to us and we will delete it.

Links to other sites

We link to official sources such as the Texas Secretary of State and the state statutes. Those sites have their own privacy practices and we do not control them. Once you leave addisonnotary.com, this policy no longer applies.

Changes to this policy

If what the site does with data changes (if we enable Turnstile, for example), this page is updated and the date at the top changes with it. Material changes will be announced here.
